1. GENERAL INFORMATION

The Charter below details the policy of PORT ROYAL HOTEL (hereinafter referred to as “the Hotel”) regarding the protection of personal data.

This Charter applies to all information and personal data you provide or that is collected during your stay at the Hotel or while browsing the www.portroyalhotel.fr website (hereinafter referred to as the “Site”).

Through the Site, the Hotel may collect the personal data of any person who sends a question to the Hotel via the “Contact” section of the Site or who makes an online reservation at www.portroyalhotel.fr. Any information of a personal nature that you may be required to transmit to the Hotel is subject to the provisions of the French Data Protection Act No. 78-17 of January 6, 1978 (as amended) and to European regulations on the protection of personal data.

 

2. YOUR RIGHTS

3. PROCESSING OF PERSONAL DATA

3.1 PURPOSE OF DATA COLLECTION

The collection of personal data enables the Hotel:

• To respond to messages you send on the Site via the “Contact” section and provide you with information on hotel services;

• To allow you to make online or on-site reservations for stays at the Hotel;

• To manage your stay in the Hotels;

• To provide you with the best possible experience and to guarantee you the same personalized service, now and in the future, during your stay at the Hotel;

• To manage the subscription and unsubscription to its newsletter;

• After your prior agreement, to communicate information about the Hotel, its services, and commercial prospecting messages;

• To manage accounting and financial matters and potential litigation.

The information required to respond to your requests, such as your name, surname, address and e-mail address, is mentioned on the collection forms. If these fields are not filled in, the Hotel cannot process requests.

 

3.2 STORAGE OF PERSONAL DATA

Data is kept for a period not exceeding the time required for the following purposes:

 

MANAGEMENT OF CUSTOMER DATA:

In active base (immediately accessible): your data will be kept for the duration of the relationship and 5 years after it has ended. Passport data will be kept for the duration of the stay.

In an archive database (limited access): data may be kept for 5 years after the retention period of the data in the active database has expired.

At your request and with your prior consent, passport data will be kept until the validity date of the passport concerned has expired.

 

MANAGEMENT OF SENSITIVE DATA:

Your data will be kept for the duration of your stay. With your consent and for your convenience, your data will be kept for 5 years after your last stay at the Hotel.

 

PAYMENT MANAGEMENT:

In active base: your payment data will be kept for the duration of the transaction.

In archive base: at your request and after your prior agreement, payment data (except the cryptogram) will be kept until the validity date of the payment card or other means of payment has expired.

 

FINANCIAL AND ACCOUNTING MANAGEMENT:

In active base: your data will be kept until the end of the accounting year and approval of the accounts.

In the archive database: your data will be kept for 10 years after the retention period of the data in the active database has expired.

 

MANAGEMENT OF COOKIES AND OTHER TRACERS:

Session cookies are kept for the duration of a session.

The cookies and tracers subject to your consent are kept for 13 months after your consent.

Cookies allowing the traceability of Internet users and IP addresses are kept for 13 months from the first visit.

 

NEWSLETTER:

Your data will be kept for as long as your subscription is active.

 

COMMERCIAL PROSPECTING:

Your data will be kept for 3 years after the last contact or when no response is made after two successive solicitations.

 

3.3 DATA RECIPIENTS

The recipients of your personal data are:

• The hosting provider of the online reservation site;

• The providers of e-commerce transaction management;

• Financial institutions and online payment providers.

The Hotel does not transmit your data to any third party unless:

You have given the Hotel prior consent to share its data with that third party;

The Hotel must share the data with this third party to provide the requested service or respond to your request;

The Hotel is required by any competent authority (including judicial or administrative authorities) to provide the data in question.

All reservations will be stored on a dedicated server at the Hotel.

 

3.4 TRANSFER OF DATA ABROAD

Recipients of your data may be located abroad, including outside the European Economic Area. Any transfer of your data outside the European Economic Area is carried out subject to the provision of appropriate guarantees, in particular contractual guarantees, in accordance with applicable regulations on the protection of personal data.

3.5 SECURITY AND CONFIDENTIALITY OF PERSONAL DATA

The Hotel has implemented state-of-the-art technical and organizational security measures, particularly regarding the security of its information system. The Hotel has taken all necessary steps to ensure the confidentiality and security of your personal data and to prevent it from being altered, damaged, destroyed or accessed by unauthorized parties.

When making reservations and in order to participate in the Hotel’s security policy, you will be required to enter a password, associated with a customer account, which will be strictly personal.

 

4. PAYMENT SECURITY

Payments made by credit card will be made through a secure system that uses the SSL (Secure Socket Layer) protocol so that the information transmitted is encrypted by software and that no third party can gain access to it while it travels across the network.
